How to call an extraordinary HOA meeting

When special HOA or board meetings are appropriate, who can call them, notice requirements and how to make them productive.

When a special meeting is justified

Urgent matters that can't wait for the annual: emergency repairs, contract terminations, special assessments, bylaw amendments, or rapid response to litigation or insurance claims.

Who has the authority to call one

Typically the board president, a majority of the board, or a petition from a minimum percentage of owners (usually 5–25%, set in your bylaws). The request must list the items to be discussed.

Notice requirements

State laws and bylaws specify minimum notice (commonly 10–30 days). Notice must include date, time, location and a clear agenda — you cannot vote on items not properly noticed.
